Job Title: HRIS Associate

Working Hours: 15:00 - 23:00 (local time)
LS Global specializes in optimizing business operations worldwide through expert outsourcing. We are currently recruiting for one of our clients for a HRIS Associate position. This role supports the administration, reporting, and data integrity of the client's Human Resources Information Systems, with a primary focus on UKG. This role maintains HR system functionality, supports employee lifecycle processes, resolves system issues, and ensures accurate employee data. Working closely with Human Resources, Payroll, IT, and business leaders, the HRIS Associate supports HR operations, workforce reporting, system optimization, and continuous process improvements while providing excellent support to employees and managers.
Key Responsibilities:
HRIS Administration & Configuration
- Assist with UKG configuration and maintenance, including workflows, business rules, notifications, organizational structures, and security roles.
- Support system enhancements, upgrades, integrations, testing, and implementations.
- Maintain employee and organizational data within UKG.
- Perform audits to ensure system accuracy, data integrity, and compliance.
- Maintain system documentation, procedures, configurations, and support materials.
- Assist with user access controls and UAT activities.
HR Operations Support
- Support employee lifecycle transactions, including hires, transfers, promotions, pay changes, leaves, and terminations.
- Review and process HR transactions to ensure accuracy and completeness.
- Maintain organizational structures, positions, reporting relationships, and employee records.
- Support onboarding, workforce administration, and employee data updates.
- Monitor workflows and assist with HR operations processes and documentation.
Reporting & Analytics
- Create, maintain, and distribute standard and ad hoc HR reports using UKG reporting tools.
- Develop workforce reports and dashboards to support HR and business leaders.
- Analyze workforce data related to headcount, turnover, recruiting, attendance, learning, and organizational structure.
- Validate reporting data and support compliance reporting, audits, and special projects.
- Identify trends and opportunities for process improvements through data analysis.
HRIS Support & Issue Resolution
- Serve as a primary contact for employee and manager questions related to UKG.
- Troubleshoot and resolve system issues submitted through email and ticketing systems.
- Investigate issues related to employee records, workflows, access, timekeeping, reporting, and system transactions.
- Document resolutions, manage support requests, and escalate complex issues as needed.
- Identify recurring issues and recommend system or process improvements.
Records Management & Data Maintenance
- Support electronic personnel file and employee record maintenance.
- Ensure employee data is accurate, complete, and properly maintained in UKG and related systems.
- Assist with records requests, audits, retention, and documentation activities.
- Handle confidential employee information according to company policies and privacy standards.
Data Management & Compliance
- Maintain accurate, secure, and confidential employee data across HR systems.
- Perform data audits, validation, and correction activities.
- Support compliance reporting, audits, and data governance processes.
- Follow established security and privacy standards.
Government Reporting Support
- Assist with gathering and validating workforce data for government reporting.
- Support EEO-1, VETS-4212, ACA, and other compliance reporting requirements.
- Review employee demographic and organizational data for accuracy.
- Assist with audit requests and compliance documentation.
Continuous Improvement & Project Support
- Support HR technology projects, UKG enhancements, and process improvement initiatives.
- Provide recommendations to improve system efficiency, reporting, and user experience.
- Collaborate with HR, Payroll, Finance, IT, and business teams on system needs.
- Maintain user guides, training materials, and process documentation.
- Stay informed on UKG updates and support communication, training, and adoption of new functionality.
Requirements:
- Bachelor’s degree in, Business, Information Systems, Data Analytics, Computer Science, or related field, or equivalent experience.
- 0–2 years of experience in HR, HRIS, reporting, analytics, customer service, or HR operations.
- Excellent English communication skills (C1 level or higher).
- Experience with HR systems such as UKG, Workday, ADP, SAP SuccessFactors, or similar platforms is preferred.
- Strong analytical, problem-solving, and data management skills with attention to accuracy and confidentiality.
- Proficiency in Microsoft Excel, including formulas, pivot tables, and data analysis; experience with Power BI or reporting tools is preferred.
- Ability to manage multiple priorities, meet deadlines, and support HR operations in a fast-paced environment.
- Familiarity with employee records management, HR administration, ticketing systems, or workforce reporting is preferred.
- Experience supporting retail, distribution, or multi-location organizations is a plus.
