Job Description
Executive Secretary provides administrative and clerical support in order to ensure efficient day-to-day office operations. The role supports management through documentation, coordination, communication, and organization, helping to maintain smooth workflow across the department.
Key Responsibilities:
- Manage daily office operations, including filing, documentation, and correspondence
- Organize and maintain office records, files, and databases (physical and digital)
- Prepare, format, and edit reports, letters, and internal memos
- Arrange meetings, appointments, and travel schedules for management and staff
- Coordinate with internal departments to ensure smooth communication and proper follow-up on tasks
- Maintain calendars and provide timely reminders of deadlines and important activities
- Handle incoming calls, emails, and inquiries in a professional and timely manner
- Support effective communication between management and staff
- Prepare meeting agendas and accurately record minutes
- Assist managers with administrative duties and confidential documentation
- Provide logistical support for meetings, events, workshops, and official visits
- Track, monitor, and follow up on pending tasks and required submissions
- Monitor office supply levels and place purchase requests as needed
- Ensure all office equipment is properly maintained and functioning
- Coordinate with vendors and service providers for administrative and office-related needs
Qualifications:
- Diploma in Business Administration, Management, or a related field
- Previous experience in an administrative or secretarial role is preferred
- Proficiency in MS Office (Word, Excel, Microsoft Outlook, PowerPoint)
- Strong organizational, communication, and multitasking skills
- Excellent verbal and written communication skills in English
