Summary: Administrative Officer manages and coordinates office operations and activities. This position will be a very hands-on position, assisting not only the CEO, but also the team in the office. As Butler continues to grow, being there to make sure that the office is running smoothly, will be a key component to our growth plans.

Duties & Responsibilities

  • Manages and organizes office operations and procedures including but not limited to, filing systems, supplies, staffing.
  • Orders and maintains office supplies and inventory.
  • Maintains office equipment; negotiates and monitors purchase and lease contracts.
  • Analyzes and maximizes office productivity.
  • Establishes, modifies, implements, and monitors systems and procedures to enhance timely and efficient workflow.
  • Develops and manages the central filing system including archives and vendor files.
  • Monitors office budget; ensures office activities are conducted within budgetary restrictions; initiates cost reduction programs.
  • Processes online payments related to office operations and activities.
  • Manages office security system. Includes requests to the office building management team for badges, and guest registration.
  • Liaise with building super and management regarding office space, including driving urgent resolutions to building-related issues that arise.
  • Prepares reports and correspondence as needed.
  • Works closely with HR for portions of the onboarding process and other admin processes.
  • Assists with general clerical/administrative duties as needed including but not limited to answering phones, filing, preparing correspondence and memoranda, faxing, copying, and mailing.
  • Provide administrative and business support to the executive management team as needed.
  • Performs other related duties as assigned by management.


  • Bachelor’s degree (B. A.) or equivalent
  • 2-4 years of experience handling administrative tasks in a related field, preferably at a startup.
  • Excellent verbal and written communication skills.
  • G-Suite and Microsoft Office experience REQUIRED.
  • An extremely productive, efficient, and organized individual.
  • An ability to juggle multiple assignments without details falling through the cracks.
  • Commitment to excellence and high standards.
  • Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.
  • Ability to work independently and as a member of various teams and committees.
  • Acute attention to detail.
  • Ability to deal effectively with a diversity of individuals at all organizational levels.
  • Good judgement with the ability to make timely and sound decisions
  • Demonstrated ability to plan and organize projects.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
