Job Title:             Administrative & Finance Officer

Reporting To:    Project Management

Principal Objective

  • To provide administrative and secretarial support to the Management Team and assist in the provision of high quality cost effective services to the tenants and their customers.

Duties and Responsibilities

  • Answering of incoming telephone calls, transfering to appropriate and taking messages
  • Responsible for the opening and distribution of incoming post
  • Responsible for translating scripts, emails and minutes of meeting from English to Albanian and vice versa
  • Responsible to performsimultaneous translation in office when requested
  • Liaise with the Project Management team in providing information for the production and distribution of Management reports (weekly, monthly and quarterly) including the collection and collation of footfall data.
  • The organisation and daily administration of the Project Management office, to include the purchasing of stationaert and office supplies and the maintenance of Project Management files and records
  • Maintain and aminister Project Management Office supplies
  • Ensure all Project files, records etc are kept in an orderly manner

Financial Controls:

Assisting with the preparation, administration and reconciliation of service charge and other budgets required to manage, maintain and promote the Property cost effectively and efficiently

  • Maintaining petty cash and local banking facilities as directed
  • Checking and coding all suppliers and contractors invoices in accordance with agreed budgets for the Management team to approve

Landlord & Tenant:

Maintaining regular contact with Tenants’ Managers and representatives to ensure the proper flow of information necessary to manage and promote the Property. 

  • Assist with all aspects of tenant, client and supplier communication.
  • Develop and manage procedure for collecting tenant trading information and ensure regular reporting of information via weekly, monthly and quarterly reports and PerForm system.
  • Promoting a good working relationship between Project Management and the tenants of the Property.


  • Undertaking all other reasonable requests and duties necessary to ensure compliance with the Principle Objective.
  • Complying with the direction of the Project Management in dealing with general office management responsibilities, communication and reporting procedures.
  • Keeping diaries of and organizing meetings as directed and in conjunction with the Management team and other internal & external contacts and the taking, production and distribution of minutes.
  • To organize own work to meet deadlines and agreed objectives
  • Other duties and responsibilities at the request of Project Management
