Position: Maintenance Admin

Job Overview

The Maintenance Admin will be responsible for maintaining in daily basis Tenants requests, complaints and fulfill company needs to be in compliance with Laws, manage Building Requirements that are requested by Yearly Checklist and work with Property Manager and field team to close all Violations related with Properties. The Maintenance Department, whereby Maintenance Admin is essential for Companies relationship with tenants and providing good service to them.

Our young and energetic team manages our properties, people, tenants, and vendors digitally. Offshore back office and our deployed technology allow us to run operations smoothly.

Job duties and responsibilities:

Among the responsibilities and duties of the Maintenance Admin are:

  • Coordinate maintenance of properties with Superintendent’s.
  • Communicates with tenants on daily basis.
  • Receives maintenance tickets and schedules repairs with Superintendent or ask from Procurement to involve Vendor.
  • Maintaining and storing documentation effectively for inspections and other requests opened/scheduled by NYC Agencies and coordinates them with Property Manager.
  • Keeps track of Violations, schedules repair and records them in Maintenance Software.
  • Make sure violations are cleared on time and provides information to NYC Agencies.
  • Works with Violation Attorney to correct, prepare forms and ask Attorney to present company on Court for specified Violations.
  • Submits certification and documents to different organization for relevant apartments.
  • Works with Accounting department on legal cases and help them in repairs requested by Court.
  • Prepares R&M annual property budget with Property Manager.
  • Reports on daily and weekly basis to Controller and Property Manager.
  • Keeping track of all new and expired registrations, permits and inspections.
  • Other duties as assigned by the Supervisor.

Qualifications:

  • Bachelor's degree in Business Management and Administration, Economics or Law.
  • Excellent organizational and reporting skills.
  • Advanced level of written and spoken English proficiency.
  • Property management background would be an advantage (not required).
  • Must possess intercultural skills and demonstrate the ability to effectively work with all levels of company personnel.
  • Excellent verbal and written communication skills.
  • Strong analytical and problem-solving skills.
  • The ability to work under pressure and tight deadlines.
  • Knowledgeable with Microsoft Office package, preferably in MS Excel.
  • Highly detail oriented.

We'd love to see:

  • Familiarity with property managements software systems.
  • Experience in property management.
  • Tech-savviness in learning/using enterprise resource planning (ERP) systems.
