Administrative Assistant - The overall purpose of the post

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

Administrative Assistant responsibilities include making travel and meeting arrangements, preparing reports, and maintaining appropriate filing systems. The candidate should have excellent oral and written communication skills in ENGLISH and be able to organize their work using tools, like MS Excel and office equipment. If you also have previous experience as a Secretary or Executive Administrative Assistant, we’d like to meet you.

Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.

Main task and responsibilities

  • Maintain a consistent/uniform filing system, primarily on the cloud via Dropbox.
  • Client invoicing, tracking, and organization of all job payments received to date.
  • Preparing and submitting AIA documents.
  • Organize and schedule appointments/meetings via Microsoft Outlook.
  • Update client and job number system on spreadsheets.
  • Write and distribute emails, letters, forms, etc.
  • Assist in the preparation of client proposals, change orders, work tickets, etc, as needed.
  • Work with the team to track job progress, bids, project submittals, etc.
  • Keeping track of office inventory/supplies.
  • Assist in the preparation of regularly scheduled reports (i.e project progress logs, expense reports, inventory logs, etc.).
  • Assist in keeping a log of all equipment and tools inventory.
  • Assist in systematically tracking purchases (invoices for materials, suppliers, equipment, sub-contractors, and tools) and filing invoice/statement copies in appropriate files.
  • Assist with maintaining accurate Master Project Sheets and other project related worksheets, docs, etc. for ongoing and completed projects.
  • Other miscellaneous administrative tasks

Required qualifications and skills

  • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree; additional qualification as an administrative assistant or Secretary will be a plus

Estimator - The overall purpose of the post

We are seeking a skilled, motivated estimator to join our growing team. In this position, you will be responsible for surveying projects, estimating labor and materials costs, and communicating financial cost and project timelines to customers. You must have a keen attention to detail and skills at estimating projects from a bird's-eye view to set our client's expectations accurately.

The ideal candidate will have excellent numerical skills and an analytical mindset.

The goal is to provide detailed reports so the company can make informed decisions that will enhance its profitability and growth.

The overall purpose of the post

Estimator is responsible for deciding how long it will take to complete a project and other factors like labor needs, materials, and budget risks. They communicate with personnel or subcontractors while also compiling reports which are then made into presentations

outlining their suggestions on projects. The role involves making educated guesses about what might happen during the course of work-related tasks.

Main task and responsibilities

  • Assess projects by identifying project requirements, regarding time, labor, and material costs within specified deadlines
  • Read blueprints and analyze all other applicable documents to prepare estimates
  • Collaborate with subcontractors, engineers, and architects during project takeoff creation to ensure accuracy
  • Act as the final say in the calculation, analysis, and adjustment of estimates
  • Present estimates to clients in a timely manner
  • Recommend cost-reduction options
  • Assist sales team in final project preparation transactions
  • Maintain thorough records of all project documentation, including estimates, sales receipts, and project completion documentation

Required qualifications and skills

  • Bachelor's degree preferred.
  • Excellent spoken and written English
  • Previous on-the-job training is a plus
  • Ability to operate independently or with a crew
  • Interpersonal communication skills, both written and verbal
  • Critical thinking, analytical, and organizational skills
  • Time management skills
