Finance & Administration Manager for i-APS Global

Main Responsibilities:

  • Working from Prishtina, the Finance and Administration Manager is to ensure that transactions of all i-APS’s affiliate projects/programs are properly accounted for and the financial systems are maintained, under all procedures and controls.
  • Assess, improve and establish uniform Standard Operating Procedures (SOPs) for all financial reporting activities throughout all i-APS’s affiliate projects/programs around the world.
  • Coordinating administrative procedures and streamlining project-management processes across all i-APS affiliate project/programs.

Tasks:

Finance management for i-APS global:

  • Project Cash flow management
  • Ensure compliance with internal and donor regulations and procedures; establishing finance and supporting function policies, systems and procedures, and directing or performing their development, documentation, and implementation
  • Discuss, propose and implement when and how necessary structuring and restructuring activities as necessary in order to improve information flow, services and address workplace issues related to financial management
  • Work with i-APS affiliate companies and projects to ensure compliance with national labor regulations
  • Provide technical support to country programs and logistics during the absence of field finance staff 
  • Ensure compliance with established financial policies and procedures, donor regulations and local laws 
  • Maintain accurate records of financial transactions for i-APS global and per project in order to monitor the financial status of all project activities
  • Closely monitor the financial planning process for budgeting and pipelines
  • Ensure preparation of all financial reports 
  • Provide assistance to program the staff and the senior management team in the preparation and revision of contract budgets.
  • Managing bank accounts and overseeing money transfers from head offices (in Washington DC and Kosovo) and country offices (Iraq, Jordan, Turkey, Norway, Libya etc.)
  • Bookkeeping for all i-APS project/programs through the QuickBooks accounting software.

Human Resources Management 

  • Assess the functioning of field finance management and administrative departments to make suggestions for performance improvements 
  • Participate in the recruitment and selection of qualified program field staff, recommend promotions, disciplinary action and termination of staff in consultation with supervisors 
  • Make reviews to ensure that appropriate care and training are being conducted and to offer support to field staff
  • Maintain open lines of communications with all field staff
  • Ensure proper HR documentation is maintained.

 Eligibility:

Educational Qualification:

  • All interested candidates must at least have a Bachelor Degree in the field of Finance, Accounting, Economics, Business Management, or any other related discipline that is relevant to accomplish the tasks.

Professional Experience:

  • A minimum of 10 years of professional experience in a financial and human resources occupation. Moreover, the candidate must have previous experience in working for international organizations or international businesses.

Other competencies:

  • Good understanding of accounting software (such as QuickBooks)
  • Excellent command of MS Excel
  • Fluent in English
  • Good communication and presentation skills
  • Ability and willingness to travel oversees for work-related purposes.
