Job Description

Documents Management Assistant for our office in Pristina, Kosovo

For our dynamically growing company, we are looking for a flexible and experienced full-time

Documents Management Assistant for our office in Pristina, as soon as possible. If you want to work in an international environment, actively participate in the design of processes, you have team spirit and initiative, then you've come to the right place.

Your tasks will include the following:

  • Active support of document work throughout the application process for the recognition of diplomas in the country of recognition
  • Verifying if all applicants' documentation, from arrival at the recognition office to the end of the process, is complete
  • Assistance in digitilazing documents and uploading them to the candidate's profile
  • Assisting in tracking applicants' missing documents by informing the document team responsible in the country of origin
  • Supporting the recognition process manager with all the tasks in the recognition country in relation to documents, applications, declarations, dispatch and communication with third parties, e.g. notary and translator
  • Support in handing over the completed, notarized and translated sets of documents to the responsible regional council and following up on the processes
  • Receiving and uploading the response(s) from the Recognition office (Anerkennungsbehörde) to the applicant's profile
  • Analysis of the response and communication with the Recognition office (Anerkennungsbehörde) if additional documents are required for further inquiries
  • Sending the authorities' response to the countries of origin, timely sharing of the new status with colleagues and updating the candidate's profile in the systems used at any moment related to the tasks related to the recognition and document process
  • Keeping the Document office organized, working in a systematic manner and taking care of candidates' personal information within the process
  • Looking for improvement potentials and sharing them with colleagues
  • Supporting the visa application process, if required, e.g. applicant's visa change process in the recognition country
